First steps checklist: Group Leadership Teams
What Group Leadership Teams need to do when first using the system
Please complete the actions listed, in order, when you start to use the new system. If you are in Early Adopter Counties / Areas / Regions, on 24 November; or if you are in All Other Counties / Areas/ Regions, on 1 December 2024.
This will allow you and your teams to see and do the things you need to volunteer.
Who can complete this list
If the Group Lead Volunteer is unavailable, the District Lead Volunteer or a member of the District Leadership Team can carry out these actions on their behalf.
They can also invite members of the Group Leadership Team to carry out some of these actions, although please note that Group Leadership Team members won’t be able to give any accreditations to volunteers.
1. Access the system and set up your profile
- Follow the steps as outlined on the all members’ checklist
2. Set up your Teams
- Set up your team structure; this includes adding any relevant sub-teams to your Leadership Team and Trustee Board.
- Add volunteers to the Group Leadership Team and sub-teams as needed
- Check that all your Group’s Sections, Trustee Board and their members have migrated to the new system as expected and update details if needed.
- Make sure any members with Holding roles are added to their relevant team.
- If a Group Lead Volunteer, be sure to close any Holding roles within in your Group once volunteers have been allocated to their team(s).
Please note: All Section records and member information will have migrated to the system as outlined on our Changes to Roles page, so typically you won’t need to create Sections or add Section roles, if the information was correct on Compass.
Please do not set up Sections as sub-teams of the Group Leadership Team - find your Leadership Team and Trustee Board by navigating to My Units > Teams in the navigation, or to find Section Teams, click through to the Sub-unit, then click Teams in the navigation to access the Section Team.
When adding new roles for volunteers, you might notice that under Role Approval Audit, References and/or Welcome Conversation aren't marked as complete, even if a volunteer has completed them (or their equivalents) before.
We're aware of this issue and are actively exploring if we can recognise historic data where it's not currently showing against new roles.
Actions once Teams are set up and everyone has access
- Give the Recruiter accreditation and the Disclosure Support Volunteer accreditation to volunteers in your Group as needed.
Note: Only volunteers who hold a full role in the system can be given an accreditation. To hold a full role on the system, volunteers need to have accessed the new system and reviewed and accepted the Declarations. Volunteers who haven’t done this will not be able to be given an accreditation. - Be aware of any learning that needs to be completed by you and each of your volunteers and support them to do it.
- Encourage your team to complete the all-members’ checklist, including the ‘additional individual actions’ where necessary.
- Create adverts on Volunteering Opportunities for any roles available in your patch.
