Assess learning overview

Access Trainer notes and guides to crediting learning

Who can complete this task: Trainers and Learning Assessors.

Start by signing in to scouts.org.uk

On your welcome page:

1. Click 'My Learning'.

On the ‘My overview’ page (if you’re using a phone, click the menu button on the top right):

2. Click ‘Explore Learning’.

3. Type 'Trainer and Learning Assessor Resources' into the 'Search term' box.

4. Click 'Trainer and Learning Assessor Resources'.

On the 'Trainer and Learning Assessor Resources' page:

5. Click 'Enrol'. 

On the course enrolment pop-up:

6. Click 'Enrol'.

On the 'Trainer and Learning Assessor Resources' page, under start learning:

7. Click the box with the name of the Trainer notes or guide to crediting learning that you want to view.

On the document window, on the top right-hand side corner:

1. Click the printer icon or file icon to print or download the document.

 

Assign a skill to a volunteer’s profile

Who can complete this task: Learning Assessors.

Start by signing in to scouts.org.uk. 

On your welcome page: 

  1. Click ‘My learning’. 

On the ‘My overview’ page: 

  1. Click the 'Categories switch’ (the nine dots) button on the top right.

  1. Click ‘Assess’. 

On the ‘Learning Assessor Overview’ page (if you’re using a phone, click the menu button on the top left): 

  1. Click ‘My volunteers’. 

On the ‘My volunteers’ page: 

  1. Click the name of the volunteer. 

  1. Click the ‘Skills’ tab. 

  1. Click the ‘+’ (plus) button.  

On the ‘Skill assignment’ page: 

  1. Click the ‘+’ (plus) button for the skill(s) you want to assign.  

  1. Click the ‘Assign skills’ button at the bottom of the page.  

A message will appear at the top of the page confirming you've successfully assigned the skills to the profile.

  

Credit a skill

Who can complete this task: Learning Assessors.

Start by signing in to scouts.org.uk. 

On your welcome page: 

  1. Click ‘My learning’. 

On the ‘My overview’ page: 

  1. Click the 'Categories switch’ (the nine dots) button on the top right.

  1. Click ‘Assess’. 

On the ‘Learning Assessor Overview’ page (if you’re using a phone, click the menu button on the top left): 

  1. Click ‘My volunteers’. 

On the ‘My volunteers’ page: 

  1. Click the name of the volunteer. 

  1. Click the 'Wood Badge' or ‘Skills’ tab. 

Please not that skills that are part of a Wood badge will only appear on the Wood Badge tab.

  1. Click ‘Assessment’ on the skill you want to assess. 

On the ‘Assessment’ page: 

8. Click the second grey box to select 'Level: Achieved skill' under the section 'Self-assessment'. 

Please note there's no text on the second grey box. Hover the mouse over the box to read the text.

9. Select the ‘Expiration mode’ from the dropdown menu. 

If you’ve selected ‘By date’, type a date into the ‘Expiry date’ box. 

10. Type your comments into the text box.

11. Click ‘Upload’, select a file and click ‘Open’.

12. Click ‘Confirm assessment’.  

A message will appear at the top of the page confirming you've successfully saved the assessment. 

 

Credit First Response

Who can complete this task: Learning Assessors.

Start by signing in to scouts.org.uk.  

On your welcome page: 

1. Click ‘My learning’.  

On the ‘My overview’ page:  

2. Click the 'Categories switch’ (the nine dots) button on the top right.

3. Click ‘Assess’.  

On the ‘Learning Assessor Overview’ page (if you’re using a phone, click the menu button on the top left):  

4. Click ‘My volunteers’.

On the ‘My volunteers’ page:  

5. Type the volunteer's name into the search box.

6. Click the volunteer's name.  

7. Click the ‘Skills’ tab.  

8. Click ‘Assessment’ on the First Response box.

If First Response doesn't appear on the 'Skills' tab, you'll need to assign it to the volunteer's profile first. Read Assign a skill to a volunteer’s profile to learn how to do this. 

On the ‘Assessment’ tab, under the ‘First Response’ page:  

9. Click the second grey box to select 'Level: Achieved skill' under the section 'Skill assessment'. 

Please note there's no text on the second grey box. Hover the mouse over the box to read the text. 

9. Select ‘By date’ on the ‘Expiration mode’ dropdown menu.  

10. Type a date into the ‘Expiry date’ box.

Please note that you’ll find information on how to determine the expiry date on the ‘Details’ tab.

11. Type the course date(s) and the Authorising Scouts First Response Trainer’s name and membership number into the Learning assessor comment box.

Please note that you’ll find an example of how to provide this information on the ‘Details’ tab.

12. Click ‘Save assessment’.   

A message will appear at the top of the page confirming you've successfully saved the assessment.

If you’re crediting external First Aid, in addition to the steps above, you must also type the course name into the comment box and ensure the external First Aid certificate is attached.

To attach a certificate, click ‘Upload’, select the certificate and click ‘Open’. You can attach only one file.

If you need to attach more than one file, we suggest you combine these files in a Word document, and upload the word document instead.

Check my team’s learning

Who can complete this task: Lead Volunteers and Learning Assessors.

Start by signing in to scouts.org.uk. 

On your welcome page: 

  1. Click ‘My learning’. 

On the ‘My overview’ page: 

  1. Click the 'Categories switch’ (the nine dots) button on the top right. 

  1. Click ‘Manage’ (if you’re a Team Leader or a Lead Volunteer) or ‘Assess’ (if you’re a Learning Assessor). 

On the ‘Overview’ page (if you’re using a phone, click the menu button on the top left): 

  1. Click ‘My volunteers’. 

On the ‘My volunteers’ page: 

  1. Click the three dots on the the row with the volunteer's name.

  2. Click 'Learning status'.

 On the volunteer's 'Learning status' page: 

7. Click the tabs 'Current', 'Recommended', 'Completed', 'Cancelled' or 'All'.

 

Create a learning report

Who can complete this task: Lead Volunteers and Learning Assessors.

Start by signing in to scouts.org.uk. 

On your welcome page: 

  1. Click ‘My learning’. 

On the ‘My overview’ page: 

  1. Click the 'Categories switch’ (the nine dots) button on the top right.  

  1. Click ‘Manage’ (if you’re a Team Leader or a Lead Volunteer) or ‘Assess’ (if you’re a Learning Assessor). 

Note: This report allows Learning Assessors to view skill requests. Only Learning Assessors can generate this report.

To create a Volunteer Wood Badge and skills report:

On the ‘Learning Assessor Overview’ page (if you’re using a phone, click the menu button on the top left): 

4. Choose the fields you want to use for your report:

    • Search term: this field allows you to find a volunteer by name or surname.
  •  
    • Volunteer: this field shows all volunteers you have access to in alphabetical order.
  •  
    • Wood Badges: this field shows all volunteers who have been assigned a Wood Badge to their profile, regardless if they've achieved the Wood Badge skills or not.     
  •  
    • Skills and Levels: this field allows you to find volunteers with a specific skill. Select a skill from the dropdown menu.
  •  
    • Membership Number: this field allows you to find a volunteer by their membership number.

By clicking twice on the heading 'Skill requests' on the table, the report will show you the highest number of skill requests at the top. This allows you to check who has requested to be credited for a skill.

Click the 'bar chart' icon at the end of the row to access the volunteer's 'Skills' page. 

You can save a copy of the report on your device by clicking 'Download as CSV'. 

Note: This report allows you to view volunteers who are enrolled in a course.

To create a due dates for courses report:

On the ‘Overview’ page (if you’re using a phone, click the menu button on the top left): 

4. Choose the fields you want to use for your report:

    • Search term: this field allows you to find a volunteer by name or surname.
  •  
    • Groups: this feature isn't working properly yet. We're working on making a better report filtered by Group, District and County. 
  •  
    • Participants: this field shows all volunteers you have access to in alphabetical order.
  •  
    • Course: this field shows the courses that the volunteers you have access to are enrolled in. You can select more than one course. Please note that some courses might appear more than one on the dropdown list. You'll need to select all the variations of that course to get a full list of volunteers enrolled in that course. 
  •  
    • Enrolment date: this field allows you to find volunteers who were enrolled in learning within a determined period of time. 
  •  
    • Due date: this field allows you to find volunteers with learning due dates within a determined period of time. 
  •  
    • Due date period: this field allows you to find volunteers with learning due dates within the next 5 days.
  •  
    • Course enrolment status: Please don't use this field.  

You can also search volunteers by their name, last name, email and membership number.

The 'Identification' column on the report shows if the volunteers are required to complete that learning. If this column is blank or 'optional', the volunteer isn't required to complete it.

You can save a copy of the report on your device by clicking 'Download as CSV'. 

Note: This report allows you to view expiring skills and keep track of renewal periods for Safety, Safeguarding and First Response learning. 

To create a skills report:

On the ‘Overview’ page (if you’re using a phone, click the menu button on the top left): 

4. Choose the fields you want to use for your report:

    • Search term: this field allows you to find a volunteer by name or surname.
  •  
    • Skills: this field allows you to find volunteers you have access to who have a specific skill. Select a skill from the dropdown menu. If a skill doesn't appear on the list, it means that the volunteers you have access to don't have that skill.
    • Groups: this feature isn't working properly yet. We're working on making a better report filtered by Group, District and County.
  •  
    • Participants: this field shows all volunteers you have access to in alphabetical order.
  •  
    • Authentication status: Please don't use this field.
  •  
    • Expiry date interval: this field allows you to find volunteers with learning expiry dates within a determined period of time.
  •  
    • Rating: Please don't use this field.

You can also search volunteers by their name, last name, email and membership number.

You can save a copy of the report on your device by clicking 'Download as CSV'.  

  

Find Learning Assessors and Trainers

Who can complete this task: All volunteers.

Start by signing in to scouts.org.uk.

On your welcome page: 

1. Click ‘My membership’.

On the top right (if you’re using a phone, click the menu button on the top right): 

2. Click ‘Search member’.

On the ‘Member search’ page: 

3. Type 'Learning Assessor' or 'Trainer' into the text box.

4. Select 'Accreditation' from the dropdown menu for 'Filter by'.

5. Click ‘Search’. 

6. Click the member’s name on the list.
