Find Welcome Conversation Volunteers
Who can complete this task: All volunteers who are full members.
Option One – Data Explorer
Start by signing in to scouts.org.uk.
On your welcome page:
1. Click ‘My membership’.
On the top right (if you’re using a phone, click the menu button on the top right):
2. Click ‘Data Explorer’.
On the ‘Data explorer’ page:
3. Type your unit into the ‘Select unit’ box.
4. Select a team from the dropdown menu.
5. Select the ‘Accreditations’ dashboard from the dropdown menu.
6. Once loaded, click ‘View Query’ under the ‘Welcome Conversations Volunteers’ to find a list of all accredited volunteers within the selected Unit.
Option Two – My Membership
Start by signing in to scouts.org.uk.
On your welcome page:
1. Click ‘My membership’.
On the top right (if you’re using a phone, click the menu button on the top right):
2. Click ‘Search member’.
On the ‘Member search’ page:
3. Type 'welcome' into the text box.
4. Select 'Accreditation' from the dropdown menu for 'Filter by'.
5. Click ‘Search’.
6. Click the member’s name on the list.
Record a welcome conversation
Who can complete this task: The volunteer responsible for appointing the new volunteer. This could be Lead Volunteers, Team Leaders (except Section Team Leaders) and Sub-Team Leaders.

Start by signing in to scouts.org.uk.
On your welcome page:
1. Click ‘My membership’.
On the top right (if you’re using a phone, click the menu button on the top right):
2. Click 'Search member'.
On the 'Member search' page:
3. Type the member’s name into the search box and click ‘Search’.
You can also search a member by their membership number, unit, email, team, role and accreditation. You'll need to select the 'Filter by' option from the dropdown menu.
4. Click the member’s name on the list.
On the left-hand side menu, under the member’s name (if you’re using a phone, click the menu button on the top right, then click the member’s name):
5. Click ‘Roles’.
On the member’s ‘Current roles' page:
6. Click the role.
On the ‘Approval audit' page:
7. Click ‘Record welcome conversation’, under the Welcome Conversation box.
On the ‘Welcome conversation’ page:
8. Type the ‘date of meeting’ into the box.
9. Type the ‘Welcome conversation volunteer’s’ name, email address or membership number into the box and select an option from the list.
10. Type the ‘Conversation details’ into the box.
11. Select the ‘Outcome’ from the dropdown menu.
12. Click ‘Submit’.
If you the fields on the volunteer's 'Welcome Conversation' page are greyed out and you can't record the Welcome Conversation, contact the Support Centre.
We're experiencing some issues when a volunteer changes role before their Welcome Conversation has been recorded, preventing the Welcome Conversation from being recorded for the new role.
The Support Centre will re-set this, so you can record the Welcome Conversation.
