About the role

Each year, Scouts hosts the Day of Celebration and Achievement at Windsor Castle, a truly special event that recognises the outstanding achievements of our members in a unique and historic setting. The event celebrates King’s Scouts, Gallantry Award holders, and adult award holders who have gained awards in the preceding year, welcoming up to 2,000 members and supporters of Scouting.

For 2026, the event will take place on 26 April, and we are looking for three volunteers to join the UK Windsor Team and play a vital role in delivering this prestigious national event.

As a UK Windsor Team Member, you will support the planning and delivery of the event, helping to ensure a smooth, safe and memorable experience for all attendees. Team Members will be allocated to one of the following focus areas, based on interest and experience:

  • Service Team – supporting guest experience, stewarding and front-facing event delivery

  • Operations – assisting with event logistics, site coordination and behind-the-scenes activity

  • Gallantry Award Holders – supporting the specific needs and recognition of Gallantry Award recipients

This role is ideal for volunteers who enjoy working as part of a team, thrive in a large-scale event environment, and want to contribute to a landmark celebration of Scouting achievement at one of the UK’s most iconic locations.

Key tasks

Service Team

  • Deputise for the Service Planning and Delivery Team (SPDT) Leader and support the recruitment of four King’s Scouts to join the SPDT through the agreed selection process (typically a selection weekend in September/October).

  • Support the SPDT throughout the planning, creation and development of the National Scout Service, including attendance at up to four training weekends.

  • Assist with rehearsals for the National Scout Service, working closely with SPDT members to refine and finalise the service content and delivery.

  • Provide direct support to King’s Scouts on the day of the National Scout Service to ensure a high-quality and positive experience.

  • Deliver operational support on the day of the service, acting as a key point of contact for the SPDT and wider stakeholders.

  • Maintain full engagement throughout all stages of planning and delivery, including being prepared to deputise for or temporarily act as SPDT Leader if required.

  • Progress into the SPDT Leader role within an agreed timeframe and support the recruitment of a new deputy.

Operations

  • Support the operational planning and delivery of the Windsor Day of Celebration and Achievement event.

  • Liaise with external suppliers to confirm requirements, share updates and resolve operational issues.

  • Provide on-the-day operational support, including event setup, managing guest flow, troubleshooting and pack-down.

  • Capture operational feedback following the event and contribute to post-event debriefs.

  • Identify and support improvements to processes and systems to enhance future events.

Gallantry Award Holders

  • Coordinate preparations for the Gallantry Award Holder reception, ensuring the needs of all attendees are met.
  • Support the successful delivery of the Gallantry Award reception, providing a high-quality and memorable event experience.
  • Support Gallantry Award holders to attend and watch the parade and review of King’s Scout Award holders in the Quadrangle.
  • Work in partnership with key stakeholders, including the National Awards Advisory Group (NAAG), Awards and Events staff teams, and King’s Scout Working Party (KSWP) volunteers.

 

Person specification

  • Experience of coordinating teams, projects or initiatives involving volunteers.
  • Experience of planning, coordinating and delivering events of a similar scale, style or complexity.
  • Knowledge and experience of delivering inclusive events that cater for a wide range of accessibility needs.
  • Excellent written and verbal communication skills, with the ability to engage effectively with a wide range of stakeholders.
  • Strong planning and organisational skills, with the ability to coordinate and manage multiple activities simultaneously.
  • Effective problem-solving skills, with the ability to think creatively and respond to challenges.
  • Confidence in using digital tools for communication, collaboration and event management.
  • Passionate about delivering high-quality, inclusive Scouting experiences.
  • Collaborative and able to work effectively as part of a diverse volunteer team.
  • Proactive, self-motivated and able to drive initiatives forward.
  • Adaptable and open to feedback, with a commitment to continuous improvement.
  • Committed to the Scout Values of integrity, respect, care, belief and cooperation, and willing to model these in the role.
  • Time commitment will vary depending on role specialism, with peak activity between January and April in the lead-up to the event.
  • Attendance at the event on 26 April 2026 is required.
  • Reasonable expenses will be reimbursed in line with Scout policy.

The Day of Celebration and Achievement is one of the most special moments in the Scouting year, and it’s a real privilege to help recognise the incredible achievements of our young people and volunteers in the inspiring setting of Windsor Castle. Our team is made up of passionate, supportive volunteers who care deeply about creating an unforgettable and inclusive experience for everyone who attends.

We’re looking for three new team members who bring enthusiasm, teamwork and a willingness to get stuck in during our busiest months. Whether your strengths lie in operations, working with King’s Scouts, or supporting our Gallantry Award holders, you’ll be joining a friendly and committed group who will guide, support and encourage you every step of the way.
