About the role
As a UK Visits Abroad Process Team Member, you will play a vital part in supporting the Team Lead to enhance the Visits Abroad process for UK Scouts. This role is focused on ensuring that international visits are safe, well-managed, and aligned with best practices.
You’ll contribute to reviewing and improving the process, ensuring it meets external standards and is effectively integrated into the new membership system. You’ll also provide support to local Counties and Regions, helping them navigate and apply the process confidently.
Key responsibilities include:
- Maintaining and updating the Visits Abroad webpage to ensure accurate and accessible information.
- Conducting data analysis and reporting to inform decision-making and identify areas for improvement.
- Supporting forums and feedback channels to help shape the ongoing development of the process.
This role is essential in creating a streamlined, supportive, and high-quality experience for Scouts planning international visits, while upholding the highest standards of safety, safeguarding, and operational excellence.

Key tasks
- Support Process Improvement - Assist the UK Visits Abroad Process Team Lead in reviewing and refining the Visits Abroad process to ensure it meets the evolving needs of UK Scouting.
- Webpage Management - Maintain and enhance the Visits Abroad webpage, ensuring it remains accurate, up-to-date, and a valuable resource for volunteers and leaders.
- System Integration - Collaborate with development teams to ensure the Visits Abroad process is effectively embedded within the new membership system.
- Data Oversight - Manage and oversee Visits Abroad data mapping to improve how information is tracked, reported, and used for decision-making.
- Community Support & Forums - Recommend and support the creation of Visits Abroad support forums. Provide guidance to Visits Abroad Recommenders, Approvers, and their teams to ensure they have the tools and knowledge needed for successful international trips.
- Coverage & Training - Identify gaps in Recommender and Approver coverage. Offer training and support to leaders planning international trips, ensuring alignment with policies and best practices.
- Stakeholder Collaboration - Work closely with the UK International Team and other stakeholders to align the Visits Abroad process with broader international Scouting initiatives.
- Safety & Safeguarding - Ensure that safety, safeguarding, and risk assessment considerations are embedded throughout the Visits Abroad process.
- Promotion & Engagement - Promote awareness of the Visits Abroad process across UK Scouting, including representation at events and through digital communications.
Person specification
- Understanding of the Visits Abroad process and its role within UK Scouting.
- Experience in process improvement, project support, or systems integration.
- Familiarity with Scouting’s safety, safeguarding, and risk assessment policies.
- Experience working with digital platforms or membership systems.
- Knowledge of international Scouting or experience supporting overseas trips is desirable.
- Effective Collaborator – Proven ability to engage and work effectively within team environments.
- Clear Communicator – Skilled at expressing complex ideas clearly to a diverse range of internal and external stakeholders.
- Organised and Efficient – Strong organisational and time management skills to prioritise and meet deadlines.

- Documentation & Review – Capable of authoring key documentation and actively contributing to review and development workstreams.
- Ability to analyse data and present insights clearly.

The UK Visits Abroad Process Team is a passionate and collaborative group working to make international Scouting adventures more accessible, safe, and well-supported for everyone across the UK. As a team member, you’ll play a key role in shaping how we help leaders and volunteers plan overseas trips—ensuring the process is clear, effective, and aligned with our values.
