About the role
The 44th World Scout Conference will take place at Olympia, London in late 2027, bringing together leaders from 176 National Scout Organizations from across the globe. As with any world-level Scouting event, a strong and appealing range of merchandise is an important part of the participant experience and contributes to the financial success of the conference.
We are looking for a volunteer with an interest in retail, merchandise or product design to support the planning and delivery of the conference merchandise offer. Working closely with Scout Stores and the event Communications team, you will help develop a range of attractive, well-designed and appropriately priced products for sale both in advance of the event and on site.
This role will also support the delivery of a dedicated retail space at Olympia, helping ensure conference attendees can easily access official event merchandise and memorabilia.

Key tasks
- Work with Scout Stores and the Conference Communications team to develop a range of conference-branded merchandise.
- Support the planning and delivery of merchandise that appeals to a range of tastes and budgets.
- Coordinate the design and layout of the retail space within the conference venue.
- Help manage the set-up, operation and close-down of the merchandise retail area during the event.
- Ensure merchandise orders are placed in a timely manner and at appropriate volumes.
- Monitor stock levels and support the management of sales and inventory during the conference.
- Act as a key point of coordination between Scout Stores, World Scout Stores and the Conference Communications team.
- Contribute ideas and initiatives to maximise interest and sales both before and during the event.
Person specification
- Interest or experience in retail, merchandising, product design or sales.
- Understanding of how branding and product design contribute to successful merchandise.
- Experience of planning or delivering projects or events (voluntary or professional).
- Awareness of stock management or retail operations is desirable but not essential.
- Creative thinking with the ability to generate ideas for appealing merchandise.
- Strong organisational and project management skills with good attention to detail.
- Effective written and verbal communication skills.
- Ability to collaborate with volunteers, staff and external partners.
- Ability to manage multiple priorities and deadlines.
- Confidence working as part of a small, collaborative team.
- Enthusiastic about Scouting and international events.
- Proactive and solution-focused.
- Reliable and able to take ownership of tasks.
- Flexible and willing to support the wider event team where needed.
- Friendly and approachable, with a positive team mindset.
- Successful applicants will be expected to attend a team training weekend in early October 2027.
- Availability will be required in London from 27 November to 4 December 2027 inclusive.
- This is a volunteer role. Some personal costs may be incurred during the conference period (for example travel to London and accommodation).

The World Scout Conference is one of the most important events in global Scouting, bringing together representatives from across the movement to shape its future. Merchandise plays a surprisingly important role in the event - it helps create lasting memories for participants while also contributing to the financial sustainability of the conference.
We’re looking for someone who enjoys being creative, organised and collaborative to help us deliver a merchandise offer that people will be excited to buy and take home. You’ll work closely with Scout Stores and a passionate volunteer team to make sure our retail space is engaging, well-stocked and welcoming for delegates from around the world.
