About the role

This role is central to the development and delivery of large-scale national events that bring Scouting to life across the UK. As part of the UK & Large Events Team, you will help shape the future of Scouting events - ensuring they are safe, inclusive, inspiring, and memorable for all who attend. 

You’ll contribute to both the strategic development and hands-on delivery of events, including:

  • Gilwell Reunion, our flagship annual event for adult volunteers, held each September. 
  • Development workstreams from the Large Events Forum, which support counties, SASUs, and local event organisers with best practice, guidance, and policy updates.

Whether you're leading the planning of a major national event or helping to shape the tools and frameworks that enable others to deliver great experiences locally, your work will directly impact the quality and safety of Scouting events across the UK.

We're looking for two team members to cover two distict tasks:

  • Gilwell Reunion: Responsible for the end-to-end delivery of the annual Reunion event, including planning, team coordination, logistics, and evaluation.
  • Development: Responsible for progressing workstreams from the Large Events Forum, including leading on the creation of guidance and updates to POR for safe and effective large event delivery.

Both roles will also support the wider UK & Large Events Team across other national events and initiatives.

Key tasks

Event Delivery

  • Lead or support the planning and delivery of allocated national events, especially Reunion.
  • Coordinate volunteer teams, logistics, programme content, and communications to ensure smooth and impactful delivery.
  • Manage timelines, budgets (where applicable), and risk assessments to ensure events are safe and well-organised.
  • Support on-site delivery, including setup, live operations, and debriefing.

Event Development

  • Lead development workstreams from the Large Events Forum, focusing on improving event safety, inclusivity, and quality.
  • Draft and review guidance documents, templates, and resources for use by counties, National Support Teams, and local event organisers. 
  • Contribute to updates to POR and other policy documents related to large event delivery.
  • Facilitate consultation and feedback processes to ensure resources are relevant and user-friendly.

Team Collaboration

  • Participate in monthly online team calls to share progress, align on priorities, and support each other’s work.
  • Attend and contribute to Large Events Forum meetings and delivery team sessions.
  • Take ownership of agreed actions, including documentation, reviews, and follow-ups.

Stakeholder Engagement

  • Build strong working relationships with internal HQ teams, volunteer networks, and external partners.
  • Represent the UK & Large Events Team in meetings, forums, and communications with professionalism and enthusiasm.
  • Act as a connector between national and local event delivery, helping to share learning and build capacity.

Continuous Improvement

  • Support the evaluation of events and development workstreams, capturing feedback and identifying areas for improvement.
  • Share insights and learning to help shape future events and resources.
  • Champion innovation, accessibility, and sustainability in event planning and delivery.

 

 

Person specification

  • Experience of successfully delivering events in a volunteer environment.
  • Experience of leading teams.
  • Understanding of stakeholder engagement within Scouting and/or similar organisations.
  • Ability to engage and work effectively with others.
  • Ability to express ideas clearly to a range of stakeholders.
  • Strong organisational and time management skills.
  • Comfortable participating in online meetings and collaborative working environments.
  • Able to author documentation and contribute to reviews and development workstreams.
  • A team player who enjoys leading and supporting others.
  • Open-minded about innovation, change, and development.
  • Takes satisfaction in seeing a job well done.
  • Has a “roll your sleeves up” attitude to ensure delivery when things get tight.
  • Passionate about creating fun, engaging, and safe events for young people and adults.
