New automated email
In our June 2025 digital system updates, we introduced a new automated email that’ll be sent to the volunteer and their Lead Volunteer when they are suspended for either safety and/or safeguarding learning non-compliance, or criminal record check non-compliance.
This email doesn't replace local communication - this remains essential so that this automated email doesn't come as a surprise when volunteers receive it.
Below you find a copy of the automated email the suspended volunteer receives from My membership.
Suspension from Scouts for [Full Name] – Safety and/or Safeguarding learning not completed
Dear [Full Name]

We’ve recently sent you reminder emails letting you know you need to complete your Safety and/or Safeguarding learning. Unfortunately, this learning still hasn’t been fully completed.
We’ve now suspended your membership with Scouts.
This is in line with POR rule 16.7 and we hope it’s just a temporary measure while you complete the learning required for your role.
Your suspension will be kept in place until you’ve done the learning that is required for your volunteer role (and it’s been recorded on My Learning). When it’s done, your suspension will be lifted within 24 hours.
Keeping young people safe is our number one priority at Scouts, so you must not attend Scouts and Scout activities (in person or online) until your suspension is lifted. If you are the parent of a youth member, please speak with your Lead Volunteer or Suspension Lead.
Completing your learning is very important, as it helps protect young people and yourself. You can access and complete your learning online - if you need help signing in to the digital system, you can use our quick start guide. If you need any further support to complete this learning, please contact your Team Leader, Lead Volunteer or Volunteering Development Team in the first instance, or you can contact the Support Centre.
As you'll understand, as Scouts, we have to keep our young people and volunteers safe. The decision to suspend your role hasn’t been made lightly, and we understand this can be difficult news.
We hope we can get you back to volunteering as soon as possible.

We’ve recently sent you prompts and reminders to complete your criminal record check application, but to date, it hasn’t been completed. Completing your criminal record check is very important, as it helps protect young people and yourself. For more guidance, please see Completing criminal record checks.
We have now suspended your membership with Scouts.
This is in line with POR rule 16.7 and we hope that this is just a temporary measure while you complete the criminal record check process.
To resolve your suspension, you need to complete the criminal record check application that’s required for your role that’s still outstanding.
If you need any support in completing your criminal record check, please let your Team Leader or Lead Volunteer (who we have copied in) know.
