We’re launching a new digital system, which you'll be invited to access by signing in to scouts.org.uk. Once invited, your feedback will be key to helping us improve the system and make your volunteering experience as easy as it can be. 

Created in collaboration with volunteers, the system is designed with your day-to-day experiences in mind. Now it’s in use, it’s natural for tweaks to be needed as everyone gets online and used to the new ways of doing things. 

We’ll regularly update this page with the improvements we’re working on, and the changes we’ve made to make sure the system supports you in your volunteering at Scouts.

Latest: We’re actively exploring if we can recognise historical data where it’s not currently pulling through to new roles, such as for those affected who had a full active role and have been moved to a Holding role.

Interim solution: If this affects you, you can submit referees and attend Welcome Conversations to progress your role to full.   

Latest: Work is underway to make this functionaility visible.   

Latest: We’re investigating issues with Data Explorer dashboards and downloads, including results not matching applied filters, downloads not matching views on screen and trouble accessing downloads. Thank you for your patience as we work to resolve these. 

Latest: We’re fixing an issue that causes some members to receive an error message when signing in.

Interim solution: Clear your browser’s history, cookies and cache, and then close and reopen the browser. If the issue continues, try using ‘incognito/private browsing’ mode, or a different browser.

Latest: We’re addressing an issue where your Section/Group/District/ County(Area/Region) isn’t visible when adding a new role or accreditation to team members using ‘Member search’ in My Membership.

Interim solution: Assign roles and accreditations through ‘My Teams’ in My Membership by following these steps: 

  1. Sign in to scouts.org.uk.  

  1. On your welcome page, click ‘My membership’. 

  1. On the left-hand side menu (or if using a phone, the menu button on the top right): 

    • Click 'Teams'. 

    • Click 'My Units' 

    • Click on the relevant 'Unit' under 'Unit Name' 

  1. On the left-hand side menu (or if using a phone, the menu button on the top right), click 'Teams' under the Unit Name  

  1. Click on the appropriate team for the volunteer (usually Helpers if they're in a Holding role) 

  1. Find the volunteer and click 'Select', under 'Actions'. 

  1. Use the dropdown menu to assign a role or an accreditation  

Latest: Accreditations do not have a visible ‘approval audit’ in the same way as Roles do, making it unclear when pre-requisites are unmet and preventing the accreditations from being visible to the user.

Interim solution: If you’re unsure about the status of your accreditation, please contact us at support@scouts.org.uk.

Latest: We’re aware that the system isn't consistently allowing you to save phone numbers, international (non-UK) numbers in particular. 

Interim solution: If affected, please make sure that your phone number is exactly 11 digits long.

  •  If your number is shorter, please add zeros to the end of the number to make it 11 digits.  

  • If your number is longer, please remove any country codes to meet the digit requirement.   

Latest: If you have a pending appointment step, such as an internal check, you may not yet have full system access to complete certain First Steps checklist tasks. 

Interim solution: To check the status of your role: 

  1. Sign in to scouts.org.uk using the instructions in your invitation email. 

  1. Navigate to My Membership > My Profile > My Roles. 

  1. If a role is marked as Provisional under Status, further action is needed before your role becomes full and the associated system permissions are granted. 

  1. Click on the provisional role to view the role approval audit. 

  1. Any item marked as Outstanding must be completed before your role becomes full. 

  1. Once completed, items will be marked as Satisfactory. 

If your internal check is outstanding, please allow a few days for processing due to high volumes following the launch of our digital system. We sincerely apologise for any inconvenience caused by these delays. 

In the meantime, please stay in touch with your team and discuss any adjustments needed to your local rollout plan.

Improvements made so far

  • Submitting a reference: Referees now receive reference requests directly from the system.  
  • Renewing a permit: permit renewals can now be submitted without any issues.  
  • Learning completion and role going to full: If learning was the only outstanding item preventing your role from going full, the system now quickly updates your role status once learning is completed. 
  • Learning Assessor view: Learning Assessors can see all that they need to in My Learning.  
  • Navigating the system: we’ve added more text to the system so it’s easier to navigate.  
  • Language of system emails: Improved the wording of emails across the system, to make sure the messages are clear.
  • Digital tool guides: Updated user guides, including writing new user guides for My Learning.  
  • Member search: Improved search performance so it’s easier to find members on My Membership, with results returned faster.
  • Permit expiry dates: Permit expiry dates are now visible on My Membership.
